How To Prepare For Your Corporate Headshot Day

A good team headshot day should feel simple. My job is to arrive prepared, keep the setup organized and help each person look their best without taking them away from their day for long.

Before the session, I make sure the main details are clear: when I will arrive, how long setup will take, how long each person should expect to be in front of the camera and when the team can expect their images. That gives the company a plan and gives everyone walking into the room a better idea of what to expect.

Keep The Clothing Professional And Simple

For company headshots, the clothing needs to represent both the person and the team. Professional attire, solid colors and simple layers usually photograph best. Busy patterns, very bright colors, T-shirts and overly casual clothing can pull attention away from the person or make the team look less consistent.

The goal is not to make everyone look identical. It is to make sure each person still looks like themselves while the whole team looks like it belongs together on the website, LinkedIn and other company materials.

Make The Day Easy For The Team

I arrive before the scheduled session time so I can get the equipment in place, check batteries and make sure the lighting is right before anyone steps in front of the camera. Once the session starts, people should be able to walk in, get their headshot and get back to their day.

That is why clear communication before the day matters. When the team knows it is a quick process, people are usually more relaxed before they even arrive.

Help Nervous People Settle In

Not everyone is comfortable in front of a camera. If someone seems nervous or unsure of how to pose, I start with a quick conversation. I might ask how their morning is going or whether they have had a professional headshot before while I take a few test shots.

That gives them a moment to settle in. By the time they realize the session has started, they are usually more comfortable and we already have strong images.

The Goal Is A Strong Team Standard

Team headshots represent the company as much as the individual. Consistent preparation, clothing guidance, lighting and posing help the final gallery feel professional without making anyone look unlike themselves.

When the day is planned well, the experience stays quick and easy. The final headshots should show each person at their best and give the company a clean, unified look everywhere those images are used.
